The 158 Greens app (package com.greens108.greens108) is operated by 108 Green Heights Flat Owners Co-operative Housing Society Ltd. ("the Society") for its members, tenants, committee and security staff. This policy explains what the app collects and how it is used.
Who can use the app
Only accounts created by the Society office can sign in. There is no public registration. Each account is linked to a flat or to a staff role.
Information we process
- Account details: name, username, email address, mobile number, flat number and role.
- Visitor passes: visitor name, mobile number, vehicle number, purpose of visit, validity window and the gate entry and exit times recorded by security.
- Domestic staff records: name, photo, mobile number, work type, validity, and a one-way hash of the Aadhaar number used only to recognise a returning staff member. The Aadhaar number itself is not stored.
- Gate photos: photos taken by security of delivery persons and walk-in visitors, shown to the resident for approval.
- Vehicle details: registration number, make, model and parking slot, so that residents can reach the owner of a vehicle blocking their way.
- Financial statements and notices published by the Society for your flat.
- Technical data: device type, app sign-in tokens, IP address of sign-in, and, when enabled, a push-notification token for your device.
How it is used
- To let residents approve or reject visitors at the gate and to keep a record of who entered the premises, for the safety of all residents.
- To send notifications about visitors, approvals and Society notices.
- To let residents and security contact a vehicle owner or a flat's designated gate numbers.
- To show you your own financial statements and Society documents.
Who can see it
Residents see only their own flat's passes, staff, vehicles and statements. Security staff see the information needed to operate the gate: expected visitors, people inside, and flat contact numbers. The Society office and committee see records needed to administer the Society. Data is not sold or shared with advertisers.
Device permissions
Camera is used by security staff to scan QR codes and take gate photos, and by residents only when they choose to attach a photo. Notifications are optional and can be turned off in your device settings.
Retention and security
Records are kept for as long as you are a member or tenant of the Society and as required by the Society's bye-laws and applicable law. Data is stored on the Society's hosting account, transmitted over HTTPS, and passwords and sign-in tokens are stored hashed.
Your choices
You may ask the Society office to correct or delete your personal details, to remove a visitor pass or staff record, or to close your account. Signing out of the app revokes that device's sign-in token.
